When we have new learners join our in-clinic intensive early intervention program, we work hard to ensure that our program is effective right from the start. Here are the intake steps that all new clients go through to ensure a smooth transition into the program. If you’re interested in our in-clinic program, here’s what you can expect!
- Book a Meeting with a Director
Whether you’re considering UP for your child or have general questions about early intervention and what a clinic-based program looks like, you can connect with one of our clinical directors through a virtual meeting, free of charge. During the meeting, the director will provide you with an overview of our services, answer any questions you may have, and see if UP is a good fit for your family. After the meeting, we’ll send you a summary of the information discussed. Interested families also have the option of booking a tour of the clinic.
- Confirm Services & Enroll
If our program is a good fit for your family and you would like to move forward with the enrollment process, just let our team know. We will help you through the paperwork and autism funding processes required, and can even budget out your services with you to ensure there are no surprises. Once your child is enrolled, you will start working with your child’s senior behaviour analyst.
- Parent Interview
The first step in our intake process once you’re enrolled in the program is a structured parent interview. We’ll ask about your child’s skills and difficulties across major developmental areas like communication, social, and motor skills. This information helps us learn more about your child and prepare for their first session. We’ll also get a good sense of your main priorities or concerns. We can also review any policies that may be unclear, go over next steps, and make sure you feel supported in your transition into the clinic.
- Start Sessions
Once we have gathered important information from the parent interview, your child is ready to start sessions! During your child’s first session, the Behaviour Interventionist (BI), Case Manager, and Senior Behaviour Analyst will be there to help your child settle in and get comfortable in the space. In the initial sessions, the BI will focus on building a play relationship with your child and support them in getting ready to learn, and the clinical team will support the BI in individualizing our approach to your child’s unique needs. Your program tuition covers the cost of the BI sessions and clinical support within their regular enrollment.
- Clinical Intake
While your child is getting settled in sessions and building a relationship with their behaviour interventionist, your clinical team (Behaviour Analyst and Case Manager) is busy completing all of our intake steps needed to get your child off to a strong start in the program. These include record reviews, completing the curriculum assessment to learn more about your child’s unique strengths and needs, and suggest objectives that will be taught in your child’s programming in our Intake Enrollment Report. In this report, we make recommendations around optimal therapy characteristics and suggested objectives for intervention.
- Objective Review Meeting
Once the assessment is complete, your child’s clinical team will share the assessment report with you and schedule a meeting to discuss the assessment results, proposed objectives, and parent priorities. We can always modify or adjust objectives at any time with parent input. Once everyone is comfortable with the objectives and you give your consent, the clinical team will work on implementation. We will then finalize the assessment report and send it to you for signing. This report serves as the Behavioural Plan of Intervention (BPI) that is required by the Ministry of Children and Family Development (MCFD) Autism Funding Program requirements for children under 6.
- Implement Objectives
Once we’re on the same page about your child’s objectives, your clinical team will dedicate additional time to child-specific training and orientation to implement the objectives with your BI(s) and create materials and programming specific to your child’s intervention plan. Once your child’s BI’s are trained and the program is being implemented, our intake is complete!
What You Can Expect On-Going
The intake process is an additional, one-time expense for new clients starting off in the program. We aim for all children to complete their objectives within a 2 month time frame. Going forward, we update the child’s assessments as needed. We complete an objectives review every quarter to revisit the objectives and priorities and request that families meet with us at that time.
In between objective reviews, you can always get in touch with your behaviour analyst with any questions or concerns. We’ll do our best to stay in touch with our monthly progress reports and will reach out if we have any questions on our end. You can also request videos of your child’s sessions or schedule an observation with your behaviour analyst to see how things are going.
